Administrative Assistant

Marshfield, WI

Ascendance Trucks formally Mid-State Truck Service is looking for a Front Office Administrator at our Wausau dealership who is able to represent the business to its customers and vendors by providing high quality telephone and administrative duties. This person would answer and route incoming calls and provide basic information to callers.

DUTIES AND RESPONSIBILITIES:

-Answer all incoming calls

-Greet visitors and notify person(s) being visited.

-Make all visitors comfortable; offer coffee, etc.

-Handle incoming and outgoing mail

-Monitor and order office supplies and forms as needed.

-Assist in creating occasional spreadsheets, graphic ads or flyers for company/location.

-Assist in location events for staff and customers as needed. This includes pre-event preparation and supply runs.

-Match/file/mail/scan/organize paperwork for other departments as requested.

-Assist in maintaining all office equipment. (i.e. copy machines, fax, printers) with IT.

-Location event planning help as needed

Qualifications:

-Proficiency in Microsoft Office

-Two years of secretarial experience preferred.

-Must be able to speak clearly on the telephone and convey an image of professionalism and competence to callers.

-Ability to read and comprehend instructions and information.

-Ability to use Microsoft Office Products (Word/Excel/Power Point/Outlook).

-Must be confidential, detail-oriented and have a high level of accuracy.

-Excellent communication skills necessary.

-Business professional/casual personal appearance necessary.

Working Conditions:

This position is mostly sedentary. S/he will work at a desk in an office setting. S/he will be required to use office machinery such as the computer, copy machine and fax. S/he may be required to work in other department in the absence of certain employees. S/he may be required, minimally, to travel to other locations as necessary to perform parallel duties or for mandatory meetings.
